Contact Types

Contacts in FuseSign can be categorised in two ways: by how they were created (their source) and by their current state or properties. Understanding these distinctions helps you know how and when you can edit, sync, or archive contact records.


Contact Source

Manual Contacts

Manual contacts are records that have been created directly in FuseSign. They are contained within the platform and are fully editable.

Disconnecting a Data Sync Integration will also result in all previous Synced contacts being converted to Manual contacts.

Reconnecting the same integration in the future will restore these to Synced contacts (and update them to reflect changes in the external platform).

Synced Contacts

Synced contacts are imported from an external Contact Data Sync integration, such as XPM, MYOB, APS, FYI Elite, or CSV.

These records are read-only in FuseSign, and changes are synced one-way from the external platform -> FuseSign.

External Contacts

External contacts are created automatically when sending bundles through FuseSign via non-DataSync integrations, such as FYI Docs, BGL, or FuseDocs.

These are one-off, read-only contacts tied to the external system at the time the bundle is sent.

Updating the same contact in the external system will not merge with existing FuseSign records; instead, a new External contact is created.


Other Contact Properties

Read-Only Contacts

Read-Only is a property of a contact that prevents direct edits in FuseSign, as the information is coming from an external platform. As read-only, the detail fields of these records will be disabled and users will be prompted to to update the contact record from its source, if belonging to a Synced source.

Synced and External contacts are read-only until they are disconnected from their source.

Internal Contacts

Internal contacts are contact records that match FuseSign user accounts by email. These records can be identified by the “Internal Contact” tag in the contact record.

The can also be identified by the office icon in the contact list and when adding these contacts to bundles:

On Business or Enterprise plans, internal contacts do not consume signing credits when included as recipients on bundles and can access the My Bundles feature.

Archived Contacts

Archived contacts are contacts that have been archived in FuseSign. They are removed from active views but retain historical bundle metadata.
